Cancellation, Billing, Refund and Privacy Policy

This page sets out the terms that apply to all lessons and services provided by English in the Woods. By booking a lesson or block of lessons, you agree to the policies below.
Cancellation Policy
Lessons must be cancelled at least 24 hours before the scheduled start time.
Cancellations made with less than 24 hours’ notice will be charged in full. This applies whether the lesson is online or in person, and whether the booking is a single session or part of a recurring weekly slot.
To cancel a lesson, send a written message to sa*@************am.com or by WhatsApp to +39 3762358987. A cancellation is only valid once we confirm receipt. Verbal cancellations are not accepted.
If English in the Woods needs to cancel a lesson, you will be offered an alternative time at no extra cost or a full refund for that lesson.
Billing Policy
Invoices are issued at the beginning of each calendar month and cover all lessons scheduled for that month.
Payment is due within 7 days of the invoice date.
Accepted payment methods on Wise are bank transfer, credit card, or debit card. Bank charges or transaction fees, where they apply, are the responsibility of the payer.
If payment is not received within 7 days of the invoice, lessons may be paused until the account is settled. We will always contact you before suspending lessons.
For students under 18, the invoice is issued to the parent or legal guardian named on the booking form.
Refund Policy
Approved refunds are processed within 24 hours of confirmation. Once issued, funds may take an additional 2 to 5 working days to appear in your account, depending on your bank or payment provider.
Refunds will be issued in the following situations:
- A lesson is cancelled by English in the Woods and cannot be rescheduled.
- A lesson was charged in error.
- A duplicate or overpayment was received.
- Pre-paid lessons that have not yet been delivered, where the student withdraws with reasonable notice.
Refunds are not available for lessons missed without 24 hours’ notice, in line with the Cancellation Policy above.
Privacy Policy
English in the Woods is committed to protecting the privacy of every student and family we work with. This section explains what information we hold, why we hold it, and how we protect it.
Student data, work, and imagery
We do not share any student data, written work, audio recordings, photographs, or videos with any third party. This applies to:
- Personal details such as name, age, address, school, and contact information.
- Academic records, lesson notes, and progress reports.
- Written work, homework submissions, and exam practice materials.
- Photographs, screen recordings, and video from lessons or activities.
- Any other content created by, or relating to, the student.
Student material is never published on social media, used in marketing, sold, or passed to advertisers under any circumstances.
Why we hold information
We hold student information only for the purpose of delivering lessons, communicating with parents and learners, issuing invoices, and meeting Italian tax and accounting requirements.
How long we keep it
Personal data is kept for the duration of the teaching relationship and for a further period only where required by Italian tax law. After that, it is securely deleted.
Your rights under GDPR
Under the EU General Data Protection Regulation (GDPR), you have the right to:
- Access the personal data we hold about you.
- Request corrections to anything that is inaccurate.
- Request deletion of your data, subject to our legal obligations.
- Withdraw consent at any time.
- Lodge a complaint with the Italian Data Protection Authority (Garante per la Protezione dei Dati Personali).

Students under 18
Where a student is under 18, written consent from a parent or legal guardian is required before we hold or process any personal data, and before any photograph or work sample is taken or stored, even for internal use.
Cookies and the website
The englishinthewoods.com website may use basic analytics cookies to understand site traffic. No personal student information is collected through the website. A separate cookie notice is shown on the first visit.
